Project Coordinator:

Monitor Project Progress

  • PMO Dashboard
  • Monthly financial tracking of all projects across MBC
  • Ensuring all project approvals are in place
  • Chasing for approvals to be sought by project managers
  • Addressing governance issues

Quarterly Spend

  • Monitor the predicted spend on projects
  • Improve financial control mechanisms and consistency across project approval documentation; for example the Financial Appraisal should request forecasted quarterly spend to be recorded if this needs to be tracked in the first place

Change Control Charts

  • Identifying the need for Change Control Requests to be raised and ensure these are raised early
  • Track Predicted Overspend

GMBO and KPI Measurement

  • Measurement and accurate reporting to Tokyo and Hamburg

Project Management Audits

Historical Diagnosis

  • Data mining and manipulation (historical /past analysis, current project analysis, resource allocation, CPI and SPI
  • Review past projects to diagnose performance improvements achieved. I.e. time spent in each phase, cost of projects, did we launch on time, how late did we launch

PPMR Review Meeting

  • To ensure PPMRs are completed in line with procedure

PPMR and SMT Project Update Slides

Create a summary of “Monitor” outputs listed above for Senior Management review

Project Cost Calculations for Budgeting purposes

Create and Organise project repositories and databases

  • Setting up Projects in IFS
  • IFS DHF Maintenance
  • Physical DHF Management and Ownership
  • Mans all the DHFs in terms of filing documents, organising the DHF corridor, sole holder of the keys
  • Retrieving Project Data from IFS assisting Project Manager

Project Management Meetings

  • Take ownership of the Agenda, ToR and Logistics related to the following key meetings:
  • Project Reviews
  • Steering Committee Reviews
  • Special Project Meetings
